Congratulations! When you have a baby or complete a legal adoption, it’s important to update your benefits to reflect your new circumstances.

Birth/Adoption

Enter a Birth Event in Workday

This event needs to be completed within 30 days of the birth or finalized legal adoption, with day 1 being the date of birth/adoption. For detailed instructions on how to enter an event, verification options, and how to upload verifications into Workday, see below.

  1. Log in to Workday and click on the Menu in the upper left corner.
  2. Select Benefits and Pay, then click Change Benefits.
  3. Choose the Birth/Adoption Reason and enter the date of birth, adoption, or legal guardianship.
  4. Click Submit, then Open, and Let’s Get Started.
    • Important: The “Submit Elections by” date is the last day you can submit your event and upload verification in Workday.
  5. Update your elections by clicking Enroll or Manage on each benefit tile you want to change. When finished, click Review and Sign.
    • Note: Add the new child as a dependent in the first benefit tile you update. Once added, you can check the box next to their name for the rest of the benefit updates.
  6. If your elections are correct, review the electronic signature, check I Accept, and click Submit. If you need to change a benefit, click  Cancel to go back to the benefit election tiles.

Submit Verification Documents

Verification Needed to Approve Event
  • Birth Verification: Typically, you will need to provide the birth certificate showing the partner or verified spouse.
  • Adoption/Legal Guardianship Verification: You will need the finalized, dated, court-stamped paperwork.
Dependent Verification
  • If you are adding your spouse and/or other children for the first time through this event, dependent verification will be needed for them as well.

Review and Update Beneficiaries for All Benefits

  • Life Insurance/Accidental Death & Dismemberment: Update in Workday through a beneficiary event or during the Birth Event. 
  • Health Savings Account: Changes must be made in the Optum portal.
  • Retirement: Changes must be made in the Principal portal.
